Position Description

Associate Meeting Planner responsible for managing assigned projects related to the support of Global Market Plans, serve as global meeting coordinator and key contact for multiple program types, and ensuring all defined policies/procedures are implemented during a meeting.

Position Responsibilities

  • Serves as meeting coordinator and key contact for assigned programs.
  • Assists department management in execution of meetings scheduled in support of Global Market Plans, ensuring all defined policies/procedures are implemented and identifying and solving problems encountered during a meeting.
  • Maintains logistical control of assigned meeting. (Secures registration, exhibit space, laboratory, cadaver laboratory, housing, banquet, audio-visual, room layout, travel arrangements, rooming list, restaurant planning, meal arrangements, and staffing assignments).
  • Compiles Meeting Summary reports on assigned meetings and distributes to appropriate personnel.
  • Maintains individual files for all meetings and ensures the checklist is followed to guarantee all details are coordinated by deadline dates.
  • Monitors meeting expenses to budget.
  • Maintains proper charge back processes for training registration fees and course expenses.
  • Partner successfully with marketing directors and product mangers to identify strategies which support product business plans.
  • Maintains current knowledge of the meeting industry.
  • Maintains moderate product knowledge.
  • Required to stay up to date and adhere to all standards and regulations as it pertains to ACCME, FDA, Medicaid- Medicare Fraud and Abuse, HIMA and our own corporate ethics, policies and procedures.
  • Maintaining the Medtronic 5 Star/Siebel System to insure compliance with the Corporate Integrity Agreement.

Basic Qualifications

  • A bachelor’s degree
  • Excellent planning, organizational & time management skills
  • Project management skills-ability to handle multiple projects simultaneously
  • Budget management
  • Strong interpersonal and communication skills
  • Ability to travel
